How decidio supports data protection, retention periods and a complete tenant export.

Overview

Working with personal data means having clear rules. decidio supports municipalities with automated retention periods, an orderly deletion flow on request and a traceable protocol area. When required a complete tenant export is available.

How it works

Data on citizen submissions is anonymised automatically once the configured retention period has been exceeded — typically after a year from closure. The processing history stays traceable, personal references are removed.

A submitting person can additionally request deletion of their data. The request is processed in an orderly flow and confirmed in writing.

The protocol area summarises administrative actions for the administration — for example who assigned which role and when. The area shows the overview without exposing individual content without cause.

If a municipality no longer wants to use decidio, a complete tenant export can be requested. The export bundles all data in a structured format for further use.

Common tasks

Receive a deletion request

  1. In the administration area open the "Request deletion" flow.
  2. Capture the identifying information of the submitting person.
  3. Start the request — the confirmation is triggered by e-mail.
  4. Close the flow as soon as the confirmation has arrived.

Use the protocol overview

In the settings open the protocol area. Filter the timeframe and review the actions. Entries can be exported to a tabular file to be handed over to internal audit.

Request a tenant export

In the settings open the "Tenant export" area, start the export and wait for the download. The export contains the necessary data for handover to another system or for archival storage.
