Citizen submissions

How residents submit requests to the municipality and what happens next.

Overview

Citizen submissions are the heart of participation in decidio. Through the public submission form anyone can send a request to the municipality — no account, in the language of the municipality site, and traceable through to the decision.

This page describes the flow from the submitting person's perspective. The internal triage steps are covered in Moderation inbox.

How it works

A submission consists of a free-text field for the request, optional attachments and contact details. After sending, the request enters the moderation inbox of the responsible team while the submitter receives a confirmation page and a confirmation e-mail in parallel.

The confirmation page contains a shareable link through which the submitter and third parties can review the processing status at any time. The link is permanent and accessible without sign-in.

To prevent abuse the form has unobtrusive protections in place — for example a limit on submissions per time window and a bot check. For the submitting person the form remains simple to fill out; an extra confirmation is only required in suspicious cases.

Common tasks

Submit a request

  1. Open the municipality's public submission form.
  2. Describe the request in the free-text field.
  3. Optionally add attachments such as photos (see Photo attachments).
  4. Fill in contact details and send.
  5. Save or share the link on the confirmation page.

Switch the form language

Use the language switch in the header of the municipality site to switch between available languages. The submission form picks up the chosen language automatically.

Follow the processing status

Open the link from the confirmation page or from the confirmation e-mail. More on this in Status tracking.
